BEO templates help a venue organize the instructions for delivering an event. A banquet event order typically brings together the event date, room, guest count, menu, beverage service, setup, timeline, staffing responsibilities, and relevant commercial references. Choose a template that matches the service format and keep one current approved version.

Download the editable BEO template pack. It contains separate layouts for a seated dinner, a cocktail reception, and a restaurant buyout. Each template includes fields to complete, with event-specific prompts rather than invented client details.

Use a separate BEO or clearly separated function section for each distinct service when an event includes multiple rooms or meal periods. A single crowded page is not useful if the team cannot tell which instructions apply where.

What every BEO should include

Start with an event identifier, version number, issue date, status, and responsible event lead. Add the client and day-of contact, event date, venue address, booked room, and time zone when needed. Distinguish vendor access, guest start, service end, and final departure.

Record estimated, guaranteed, and expected attendance separately when those figures differ. State the guarantee deadline and link to the agreed billing terms. A count of chairs should not silently replace the contractual guarantee.

Include food and beverage details, service timing, equipment, layout, staffing assignments, dietary requirements, and relevant safety or access instructions. Reference the current contract and invoice rather than copying payment-card information into an operations document.

Adapt the seated dinner template

For a plated meal, record the selection process, meal counts, special meals, and how staff identify each guest's choice. For family-style service, specify the dishes, portion plan, and table distribution.

Add reception time, seating time, course sequence, speeches, and clearing requirements. Include the approved floor plan version. Confirm dietary requests through your established kitchen process; do not promise an allergen-free environment unless the operation can actually support that claim.

Adapt the reception template

Record which items are passed, stationed, or replenished, and how long each service lasts. Identify the bar arrangement, approved drinks, service window, and person authorized to approve changes.

A standing capacity does not describe the entire guest experience. Include accessible seating needs, coat storage, arrival flow, and any presentation area. Verify that furniture and stations leave required paths clear.

Adapt the buyout template

Document the full closure period, not just the advertised party hours. Name the person responsible for guest-facing closure notices, entrance control, vendor access, and reopening checks where relevant.

List included and excluded areas, restrictions on outside vendors, sound rules, and any planned room transitions. Confirm responsibility for cleaning, removal of decorations, and reset. If the buyout includes outdoor space, record the approved weather plan.

Control changes before they reach the floor

Assign one person to update the BEO. Each revision should show the version, change, author, time, and required approvals. Replace obsolete copies and notify the teams affected by the change.

Separate client approval of commercial changes from internal acknowledgment of operational instructions. A server's receipt of a new BEO does not necessarily authorize a price change. Likewise, a guest's casual request on event day should not bypass the agreed approval process.

Use the template as part of a complete workflow

A BEO supports execution. The proposal sells the experience, the agreement records the parties' terms, and the invoice explains the amount owed. A BEO may be incorporated into a contract depending on the agreement; do not assume it is always nonbinding or always sufficient on its own.

When your process is ready, make the venue discoverable. RestauRent can help hospitality spaces present their private event offer to planners, while your BEO process helps the team deliver what was promised.

Frequently asked questions

What does BEO stand for?

BEO stands for banquet event order. Venues use it to communicate the agreed details and operational instructions for an event.

Can I use one BEO template for every event?

Use a common core, then add the fields needed for each format. Seated dinners, receptions, and full buyouts require different operational details.

Is a BEO the same as a contract?

Not necessarily. Its legal role depends on the document and agreement. Keep commercial terms and operational instructions aligned, and confirm how the BEO is incorporated into your contract.
